As a project manager of an email migration project, you need to ensure you have the right set of tools to help you complete the project successfully. Some are obvious, and some are not. This section details the tools that we regard as vital for any project manager who is managing a complex email migration project. We have seen email migration projects where some of the obvious tools are not being used. By not having any of these tools you are putting yourself at a disadvantage before you start the project.
Microsoft Project: Create an manage your project plan using Microsoft Project. Those people who need to view your project plan can use Microsoft Project Viewer.
Mobile Phone: You need to be able to get in touch with your project resources, and they need to be able to get in touch with you – as will the customer. Amazingly I have encountered project managers who refuse to use a mobile phone.
Smart Phone: Similar to the need to have a mobile phone, but also gives you the ability to read and reply to emails quickly, if required.
Microsoft Excel: Manage your project budget.
Email to TXT (SMS) Service: A handy tool to provide dynamic TXT (SMS) alerts to a large group of people at the same time. You could be making a major change to the messaging environment and need to ensure you can communicate status information rapidly to a defined group of people – these people may not be at their computer to read an email, but are more likely to be carrying their mobile phones. Worth paying some dollars for this service.
Conference Phone Facility: Being able to get all your key resources on regular conference calls is very important, and can be used to deal with unplanned events that need everyone to collaborate quickly.
